1. Acceptance

By creating an account or using kloterin.id, you agree to these Terms & Conditions and the Privacy Policy. If you sign up on behalf of an agency, you confirm that you are authorised to represent it.

2. The service

kloterin.id is a web application that helps Umrah and Hajj agencies manage pilgrims, departures and seats, payments, documents, registration forms, agent commissions, branches, tour leaders, and marketing material. It also provides a pilgrim portal, an agent portal, and a public agency page. kloterin.id is not a pilgrimage operator and is not a party to any agreement between an agency and its pilgrims.

3. Accounts and security

• You must provide accurate information and keep your password confidential.
• The agency owner (Super Admin) is responsible for the staff, agent, and tour leader accounts they invite and the roles they assign.
• Pilgrim portal links are personal. The agency is responsible for sending them only to the right pilgrim and for generating a new link if one is shared by mistake.
• Tell us immediately if you notice unauthorised access to your account.

4. Agency obligations

• Hold a valid licence to operate Umrah and/or Hajj travel in your country (in Indonesia: PPIU and/or PIHK), or act as an official branch or partner of a licensed operator.
• Enter pilgrim data lawfully and in line with the Privacy Policy.
• Make sure packages, prices, and seat information shown on your public agency page are accurate.
• Not use the service for fraud, illegal fundraising, or any unlawful activity.

5. Forms, terms, and electronic signatures

• Agencies may upload their own registration forms and their own terms & conditions for pilgrims. The agency is fully responsible for the content of those documents and for its agreement with pilgrims.
• Consent ticks and signatures drawn in kloterin.id (in the office, through an agent, or in the pilgrim portal) are recorded with their date, time, and version as evidence of agreement. They are uncertified electronic signatures, not certified digital signatures issued by a certification authority. Agencies that need a certified signature or a stamp duty (meterai) must arrange it separately.

6. Data ownership

All data you enter remains the property of the agency. You can export it at any time from the Backup & export menu. We process it only to provide the service.

7. Plans and subscription payments

• The Free plan can be used indefinitely within its usage limits.
• Paid plans are paid in advance for the chosen period. Agencies in Indonesia pay in Rupiah by bank transfer to the account shown in the app (activated after our team checks the proof) or, where available, through Midtrans. Agencies using another currency can pay in US dollars by card through Stripe; the plan is activated after the server receives and verifies confirmation from Stripe.
• Every payment is a one-off payment. Paid plans never renew automatically and we never charge your card again without a new order. When a paid period ends, the account returns to the Free plan without losing data. Data above the Free plan limits stays stored and visible, but new data cannot be added in those areas.
• Payments received are non-refundable, except when we fail to activate the plan or you paid too much.
• Prices may change. A price change never affects a period you have already paid for.

8. Payments from pilgrims

Pilgrims pay directly into the agency's bank account. kloterin.id only records transactions entered by the agency and does not receive, hold, or pass on pilgrims' money. Recording accuracy, verifying funds, and refunds to pilgrims are entirely the agency's responsibility.

9. Availability

We work to keep the service available at all times but cannot guarantee it will be free of interruptions. Planned maintenance will be announced in advance where possible. We recommend exporting your data regularly.

10. Prohibited use

• Trying to access another agency's data or parts of the system you are not allowed to use.
• Disrupting, deliberately overloading, or reverse-engineering the service.
• Reselling or renting access to the service without our written consent.
• Uploading content that breaks the law, infringes copyright, or violates the rights of others.

11. Termination

You may stop using the service and ask us to delete your account at any time. We may suspend or close accounts that breach these terms, especially in cases involving fraud against pilgrims, with notice where possible.

12. Limitation of liability

To the extent permitted by law, kloterin.id is not liable for indirect losses, loss of profit, or losses caused by data entry mistakes, misuse of accounts by people the agency gave access to, or the agency's business decisions. Our total liability is limited to the subscription fees you paid in the last 3 months.

13. Governing law

These terms are governed by the laws of the Republic of Indonesia. Disputes will first be settled amicably. If no agreement is reached, they will be settled by the competent district court in Indonesia.

14. Changes

We may update these terms. Material changes will be announced in the app or by email at least 14 days before they take effect.
